1. Who We Are
CarePlan Australia (“CarePlan”, “we”, “us”) operates the CarePlan Vigilance Tracker portal (“the Portal”), used by independent care workers and clients for shift logging, record keeping, and invoice generation.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. What Information We Collect
We collect only information necessary to operate the Portal.
Worker Information
- Name
- Email address
- Encrypted login credentials
- Shift start and end times
- GPS location at check-in
- Shift notes entered by the worker
Client Information
- Client name
- Service address
- Care-related notes
- Wellness indicators recorded during shifts
Technical Information
- IP address
- Login timestamps
- Device/browser type
- Security and system logs
We do not collect information for advertising or marketing purposes.
3. Sensitive Information
Care notes may include information relating to a client’s health, wellbeing, or personal circumstances.
This information is treated as sensitive and access is restricted to authorised users only.
4. GPS Location Data
The Portal records GPS coordinates at the time of shift check-in.
GPS data is used solely to:
- Confirm worker presence at the service location
- Support audit and compliance requirements
- Reduce fraudulent time reporting
GPS data is not used for general tracking outside shift logging.
5. Overseas Hosting
The CarePlan Portal is hosted on secure infrastructure located in:
- Arizona, United States (primary server)
- Boston, United States (backups)
Personal information entered into the Portal is therefore stored in the United States.
By using the Portal, users acknowledge that their information may be transferred to and stored in the United States.
We take reasonable steps to ensure our hosting provider maintains appropriate security safeguards. However, Australian privacy protections may differ from those in other jurisdictions.
CarePlan remains responsible under Australian law for personal information we collect and manage.
6. How We Use Information
We use collected information to:
- Record and verify care shifts
- Generate invoices
- Maintain compliance records
- Provide transparency between workers and clients
- Protect against misuse or fraud
- Maintain system security
We do not sell or trade personal information.
7. Disclosure of Information
Information may be disclosed:
- To authorised care providers for billing and compliance
- To infrastructure providers (e.g., hosting services)
- Where required by law
We do not disclose personal information for advertising purposes.
8. Security
We apply reasonable safeguards including:
- HTTPS encryption
- Encrypted password storage
- Role-based access controls
- Authentication requirements
- Server-side logging
- Restricted administrative access
No internet system can guarantee absolute security.
9. Data Retention
Shift records, invoices, and related notes are retained for:
- Legal compliance
- Financial record keeping
- Audit requirements
Records are retained for the minimum period required by applicable Australian law.

Individuals may request access to their personal information or request correction of inaccurate data by contacting us.
